SEDC Seeking Request for Proposals for Marketing Materials

PURPOSE

The Sweetwater Economic Development Coalition (SEDC) has initiated a Request for Proposal (RFP) process to hire a firm located within Sweetwater County to redesign the SEDC website and develop marketing materials for economic development purposes.

ELIGIBILITY

SEDC is seeking a local marketing business specializing in website deign for the redesign of the existing SEDC website, creation of marketing materials for business attraction efforts, and creation of marketing materials for Business, Retention, and Expansion (BRE) efforts.

SCOPE OF WORK

The Firm shall be required to:
  1. Consult with the Sweetwater Economic Development Coalition board and staff in the redesign of the existing website.
  • Create modifications to the existing SEDC website based on comments from the SEDC board and staff.
  • Craft creative branding messages for multifaceted audiences (developers, businesses, residents and visitors).
  • Develop targeted messages for various marketing platforms using all digitial mediums, SEO, social media (Instagram, Linkedin, Facebook and You Tube), video, email marketing program (events), and any other items you think suitable.
  • Design and create marketing materials for business recruitment efforts to include digital ads, print ads, pamphlets, brochures, trade shows.
  • Design and create marketing material for the promotion of BRE  efforts to include digital ads and print ads.
  • Use existing branding guidelines, logos and palette for desin use. (SEDC will provide guidelines and palette)

SUBMISSION GUIDELINES

Firms interested in submitting proposals to provide such services should follow the instructions in this Request for Proposals (RFP). Proposals should be prepared by providing a straightforward and concise description of the capabilities of the responding firms to satisfy the requirement of the RFP.

Interested firms are asked to submit proposals that contain the following information:

  • A proposal on how we can achieve the goals in the scope of services along with cost of services.
  • A description of your organizational structure.
  • Examples of elevant past work with economic development entitites.
  • Three relevant references.
  • Any other information that you believe would make your work for the Sweetwater Economic Development Coalition superior to that of other firms.
SELECTION PROCESS

In evaluating proposals submitted pursuant to this request, the following factors will be considered:

  1. Quality of work.
  2. Knowledge of the Sweetwater County area and economic development efforts.
  3. Innovative or outstanding work that demonstrated unique qualifications.
  4. Level of experience and training of personnel assigned the contract.
  5. Cost of services with consideration of fees for additional third party agencies/consultants to fully execute the goal.

Questions regarding this project must be received by email by Monday February 27th, 2023 at 5:00 P.M. to be addressed.  All questions received will be answered and forwarded to all persons/firms that have requested RFP packets.

PROPOSAL SUBMITTAL

To be considered in the selection process, sealed proposals must be received in the Sweetwater County Land Use Office by Friday February 24th, 2023 at 5:00 P.M.

Late proposals will not be accepted and will be returned to the firm.

PRE-CONTRACTUAL EXPENSES IN RESPONDING TO THE RFP PREPARATION

Sweetwater County shall not be liable for any pre-contractual expenses incurred by any Proposer or by any selected consultant. Each bidder shall protect, defend, indemnify, and hold harmless Sweetwater County from any and all liability, claims, or expenses whatsoever incurred by, or on behalf of, the entity participating in the preparation of its response to this Request for Qualifications.  Pre-contractual expenses are defined as expenses incurred by bidders and the selected consultant, if any, in:

  • Preparing and submitting information in response to this Request for Qualifications.
  • Negotiations with Sweetwater County on any matter related to this procurement.
  • Costs associated with interviews, meetings, travel, or presentations.
  • All other expenses incurred by a bidder/consultant before the date of award and a formal notice to proceed.

Sweetwater County reserves the right to amend, withdraw, and cancel this request. Sweetwater County reserves the right to reject all responses to this request at any time before contract execution. Sweetwater County reserves the right to request or obtain additional information about any and all proposals. Sweetwater County also reserves the right to use any information, or idea from any proposal in the design and completion of this project.
